Start with the question the report must answer
A report for reviewing a month of activity is different from a report for checking a career total. Write the purpose before selecting filters or columns. That makes it easier to decide which records belong and what the recipient needs to understand.

Check the report before sharing it
Review the reporting period, aircraft scope, and visible categories. Compare one or two known flights with their source records. Then check the total in the exported file, not just the on-screen view. A readable layout is helpful, but it is not proof that the correct records were selected.
- Include the purpose and date range in your filename or accompanying note.
- Check that the first and last records fall within the intended range.
- Review page breaks and headings in a printed or PDF copy.
- Confirm the recipient is authorized to receive the information.
Preserve an original copy
If you use a spreadsheet export for your own analysis, keep an unchanged copy before sorting, deleting columns, or adding formulas. A working spreadsheet and the original export serve different purposes. Keeping both helps you trace a later discrepancy back to its source.
Explain what the report is
Label a personal export accurately when sharing it. Do not present it as an official record merely because its layout resembles one. For formal submissions, ask the receiving organization which record and format it requires; a convenient export may not be the accepted document.
